WeBox - How do I configure WeBox upload functionality in my account?

Hello and Welcome to WeGuard Enterprise Visual Knowledge-base Series.
In this KB article, We will explain about the upload functionality in WeBox.

Upload feature aims to provide an option to the workforce to upload files from the device through the WeBox application. All that workforce has to do from the device is to capture and upload the image. The captures can be something like bills, receipts, documents, work order-related pictures, etc.

  • Login to WeGuard Console with valid credentials.
  • Now from the left navigation menu, click on "WeBox”.
  • Notice two tabs with names "WeBox Files" & "Device Uploads".
  • Click on "Device Uploads".


         

  • Account admin can create folders within these fields to allow the workforce to upload pictures.
  • Let's first look at the process of creating folders within "Shared Folder"
    • For the first time there won't be any folders.
    • Click on the "+" button to create a folder.
    • Enter the name and click on the "Create" button. For example "Master Document"
    • Once the folder is created successfully, notice the folder name Master Document in the list.
    • Master Document folder would now be visible in WeBox Application > Upload > Shared Folder to all device users/workforce in the account irrespective of the group/policy.
            

  • Now, let's look at the process of creating folders within groups of "Groups Folder"
    • For the first time there won't be any groups displayed in the list.
    • To create a folder within Groups click on the "+" button.
    • Notice list of groups that are there created/cloned and listed in the "Policy Groups" page.
    • Enter a folder name and tag it to a specific policy group and click Create. For example, Let’s create a folder with the name "Bills" and tag it to the "Default Android Kiosk" policy. 
           

           

           

  • Since the folder created is specific to a policy group, devices that are under the policy group would see the folder. 
  • In this example, Bills folder is created in Default Android Kiosk group, meaning devices tagged to Default Android Kiosk policy will see Bills folder in WeBox Application > Upload > Group Folder > Bills.

  • Be it  Shared Folder or Group Folder below configurations are available
    • Upload Limit
      • Default is 10MB.
      • Options provided : 5MB, 10MB, 15MB.
    • Sign Enable
      • While uploading the picture we can force the device user/workforce to provide a signature.

  • Once the folders are created and configuration is set, device users/workforce can now upload the pictures from the device via WeBox.

Now Let's look at the process of uploading a picture from the device.

  • The upload feature is enabled by default on all accounts. Which means users will see an "Upload" button in the WeBox application.

  • Click on the "Upload".
  • Redirects the users to a page where they would see Shared Folder & Group Folder.
  • Based on the preference, the user can select either of the options.

  • Shared Folder
    • For example, if the picture that is to be uploaded is not related to the policy s/he can click on Shared Folder.
    • List of folders created on the console would be listed. As per above example, “Master Document” folder will be visible.
    • Click on Master Document > Capture > Edit the photo / add annotations, markers > edit picture default name > add comments if needed > enter signature > Done.
    • The picture will be uploaded and the status will be shown.
    • The retry option will be enabled for the upload which goes to the FAILED state.
    • On the console the picture will be displayed in WeBox > Device Uploads > Shared Folder > Master Document.


                  

                       

                         
                          

                           

  • Group Folder
    • For example, if the picture that is to be uploaded is related to the specific policy s/he can click on Group Folder.
    • List of folders created on the console would be listed. As per above example, Bills folder will be visible in the above selected policy.
    • Click on Bills > Capture > Edit the photo / add annotations, markers > edit picture default name > add comments if needed > enter signature > Done.
    • The picture will be uploaded and the status would be shown on the device.
    • The retry option will be enabled for the upload which goes to the FAILED state.
    • On the console the picture will be displayed in WeBox > Device Uploads > Group Folder > Default Android Kiosk > Bills.
